Parties & Definitions
“BR E-Bikes”, “we”, “our” or “us” refers to BR E-Bikes Ltd, a private limited company registered in England and Wales under Company Registration Number 15462790, operating commercial workshop facilities at 237 Lewisham Way, London SE4 1UY and 130–132 High Street, Carshalton, Surrey SM5 3AE. “You” or “the client” refers to any individual, courier, or corporate organization entering into a rental agreement, retail purchase, workshop booking, or B2B fleet contract with us.
Eligibility & ID Verification
To rent an electric bike or enter into a commercial agreement with BR E-Bikes, you must be 18 years of age or older, legally resident in the United Kingdom, and successfully provide the following verification materials prior to bike handover:
- Valid government-issued photo identification (UK/international passport, UK driving licence, or biometric residence permit).
- Proof of current UK residential address dated within the preceding 90 calendar days (utility bill, bank statement, council tax letter, or valid tenancy agreement).
- Active UK mobile telephone number and personal email address for operational and payment notifications.
- A valid UK debit or credit card issued in your legal name and supported by Stripe payment processing.
BR E-Bikes reserves the right to decline rental service or request secondary identity documentation where automated fraud checks fail, where addresses cannot be matched, or where a history of defaulted payments exists.
Rental Terms & 30-Day Period
All individual rentals operate on a rolling weekly agreement with a mandatory initial commitment of 30 calendar days. The rental commences at the time of physical handover at one of our hubs and continues indefinitely on a recurring weekly schedule until terminated in accordance with these terms.
Deposits & Weekly Payments
A refundable security deposit equal to one week of rental is held at the start of every agreement. Deposits are returned within 10 business days following the verified return of the bike, subject to satisfactory mechanical inspection and deduction of any unpaid fees, damaged parts, or missing accessories.
Weekly rental fees are automatically processed every 7 calendar days through Stripe. In the event of payment failure, you will be notified immediately. Accounts remaining in default after 48 hours will incur a £10 late administrative fee. Persistently defaulted accounts are subject to immediate remote GPS motor immobilisation and recovery proceedings.
Authorized Use & EAPC Rules
Every e-bike rented or sold by BR E-Bikes is strictly compliant with UK Electrically Assisted Pedal Cycle (EAPC) regulations: 250W continuous rated power, motor assist cut-off at 15.5 mph (25 km/h), and functional pedals. No DVLA registration, driving licence, or road tax is legally required.
By operating our vehicles, you covenant and agree to:
- Operate the vehicle exclusively on roads, cycleways, and paths permitted by the UK Highway Code.
- Never attach any twist throttle, cut-off override, or illegal power amplifier. Altering the powertrain immediately terminates the agreement and renders you personally liable for the bike's full replacement value (£2,100–£3,400).
- Not sub-let, transfer, loan, or surrender custody of the vehicle to any third-party individual not named on the rental contract.
- Fasten the heavy-duty security lock to an immovable street fixture every time the vehicle is left unattended.
Damage, Loss & Theft Policy
The client retains primary custody and responsibility for the bike and supplied accessories from handover until physical check-in at a BR E-Bikes workshop. In the event of theft, damage, or accident:
- Notify BR E-Bikes operations immediately via WhatsApp (+44 7449 920165 / +44 7398 533576).
- File a police report with the Metropolitan Police or local constabulary within 24 hours and supply the Crime Reference Number to our team.
- Provide clear photographs of any vehicle damage, incident location, and relevant third-party insurance or contact details.
Where theft occurs without proof of proper locking or where negligence is established, the client remains liable for the vehicle replacement valuation: £2,100 for Eskuta SX-250 models and £3,400 for BR Premium models.
GPS Tracking & Security
All BR E-Bikes rental and fleet vehicles are equipped with an integrated 4G IoT telematics system. Telematics data is utilized exclusively for:
- Assisting police recovery in the event of reported theft or unauthorized removal.
- Monitoring fleet mileage to trigger preventative maintenance schedules and brake safety inspections.
- Remotely disabling motor assist on stolen vehicles or accounts in severe non-payment default.
We never disclose, sell, or commercialize individual rider trip data. Tampering with, disabling, or attempting to remove the tracking module constitutes criminal mischief and immediate contract termination.
Workshop Servicing & Repairs
Scheduled wear-and-tear servicing (brake pad replacements, motor checks, tyre rotations) is included free of charge on all active rental agreements when brought to our New Cross or Carshalton hubs. For retail and third-party repair jobs, cost estimates are provided prior to commencement. Any additional necessary work exceeding £25 will require verbal or WhatsApp authorization from the customer.
Retail Sales & 12M Warranty
New complete electric bikes and genuine replacement assemblies purchased through brebikes.co.uk or in our showrooms carry a 12-month manufacturer defect warranty covering the frame, motor, controller, and battery pack. Warranty coverage excludes normal consumable wear (tubes, tyres, brake friction pads, pedal surfaces) and accidental or water-immersion damage.
B2B Commercial Fleet Terms
Commercial fleet deployments for London municipal councils, police forces, parking enforcement, and courier operators are governed by an individualized Master Services Agreement (MSA) detailing agreed Service Level Agreements (SLAs), dedicated replacement bike pools, on-site mechanic visits, and custom fleet branding.
Cancellation & Cooling-Off
Under the UK Consumer Contracts Regulations 2013, retail product orders placed online may be cancelled within 14 days of receipt for a full refund, provided the items remain completely unused in original sealed packaging. Custom-built fleet vehicles, initiated weekly rental contracts, and fitted mechanical replacement parts are exempt from cooling-off periods once services have commenced.
Limitation of Liability
Nothing in these terms limits or excludes our liability for death or personal injury caused by our gross negligence or fraudulent misrepresentation. Subject to the foregoing, BR E-Bikes Ltd's aggregate liability under any contract in any 12-month period is strictly limited to the greater of £1,000 or the total sums paid by the customer during that period.
BR E-Bikes shall not be liable for any indirect, commercial, or consequential loss, including loss of courier gig earnings, loss of delivery bonuses, or third-party parking penalties.
Data Protection & Privacy Policy
BR E-Bikes processes personal information in compliance with the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018. We collect identification, contact details, payment tokens (managed securely by Stripe PCI-DSS Level 1 infrastructure), and vehicle GPS data solely to administer your rental, prevent vehicle theft, and provide maintenance.
You possess legal rights under UK GDPR to access your data, request rectification or erasure, and lodge inquiries with the Information Commissioner's Office (ICO). To exercise your rights, email our data team at contact@brebikes.co.uk.
Governing Law & Jurisdiction
These terms, their subject matter, and formation are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising under these agreements.
