Terms & Conditions

These terms govern your use of BR E-Bikes rentals, retail products, workshop services, and fleet solutions. Please read them carefully — renting, buying, or booking with us means you agree to them.

Parties & Definitions

"BR E-Bikes", "we" or "us" refers to BR E-Bikes Ltd, a company registered in England and Wales, trading from 237 Lewisham Way, New Cross, London SE4 1UY and 130–132 High Street, Carshalton, Surrey SM5 3AE. "You" or "the client" refers to any individual or organisation entering into a rental, purchase, service booking, or fleet agreement with us.

Eligibility

To rent or buy from BR E-Bikes you must be 18 years or older, resident in the United Kingdom, and provide:

  • Valid government-issued photo ID (passport, UK driving licence, or BRP).
  • Proof of UK address dated within the last 90 days (utility bill, bank statement, HMRC letter, or tenancy agreement).
  • A valid mobile phone number and email address for ongoing contact.
  • A payment method acceptable to Stripe (debit or credit card).

We may refuse service at our discretion where verification cannot be completed or where fraud, misuse, or prior breach is suspected.

Rental Agreements

All rentals run on a rolling weekly contract unless a fixed term is expressly agreed in writing. The rental period begins on collection and continues until the bike is returned to one of our branches in its original condition (fair wear and tear excepted).

Ending your rental

You may end the rental at any time by giving us 7 days' written notice (WhatsApp, email, or client portal). Your weekly rent remains due during the notice period. The bike must be returned clean, charged, with all keys, chargers and accessories supplied at collection.

Deposits & Payments

A refundable deposit equal to one weekly rental is held at the start of every agreement. Deposits are returned within 10 working days of the bike being returned in acceptable condition, less any damage, missing items, or outstanding payments.

Weekly rent is collected via Stripe on the same day each week. Late payments incur a £10 late fee after 48 hours. Persistently unpaid rentals will be remotely immobilised via the on-board GPS module and may be reported as stolen property.

Use of the Bike

All bikes we supply are road-legal Electrically Assisted Pedal Cycles (EAPCs) under UK law: 250 W motor, assistance capped at 15.5 mph (25 km/h), pedal-assist only. You agree to:

  • Ride only within the UK mainland.
  • Obey the Highway Code and all applicable road traffic laws.
  • Wear a helmet and high-visibility clothing; we strongly recommend it.
  • Never install a throttle, alter the speed limiter, or otherwise modify the drivetrain. Doing so voids the rental and makes you liable for the bike's full replacement value.
  • Not sub-let, share, or hand the bike to anyone not named on the agreement.
  • Use the supplied lock every time the bike is left unattended, even momentarily.
Commercial use Delivery, courier and food-delivery use is permitted on our standard rentals. Please tell us at collection so we can fit the correct battery range and service schedule.

Damage, Loss & Theft

You are responsible for the bike from collection until return. In the event of accident, damage, or theft you must:

  1. Notify us immediately via WhatsApp or phone.
  2. Report any theft to the Police within 24 hours and provide the crime reference number.
  3. Take photographs of any damage and of third parties involved.

Where damage results from negligence, misuse, or failure to use the supplied lock, repair or replacement costs will be charged at our published workshop rates. Full replacement value is £2,100 for the SX-250 and £3,400 for the Premium 52Ah.

GPS & Tracking

Every bike we supply carries an active GPS module. We use it solely to:

  • Recover the bike in case of theft or non-return.
  • Schedule preventative maintenance based on mileage.
  • Remotely immobilise bikes reported as stolen or on persistently unpaid rentals.

We do not sell, publish, or share your location data. Removing, disabling, or tampering with the GPS module is a material breach of this agreement and makes you liable for the bike's full replacement value.

Workshop & Services

Scheduled maintenance, repairs and diagnostics are performed at our in-house workshop at both branches. Quotes are valid for 14 days. Parts and labour are charged at the rates shown in your invoice; you will be notified before any additional work over £25 is carried out.

Bikes left uncollected more than 30 days after completion may be sold to recover costs, after two written reminders.

Retail Sales

Parts, accessories, and complete bikes sold through brebikes.co.uk or in-store are covered by a 12-month manufacturer warranty against defects unless otherwise stated. Warranty does not cover wear items (brake pads, tyres, inner tubes, cables, chains) or damage caused by accident or misuse.

Online orders are processed the next working day. Collection is available from either branch. Delivery is offered to UK mainland at the rate shown at checkout. Batteries ship by ground courier only and may take up to 5 working days.

Fleet Solutions

Fleet agreements for councils, police, enforcement, food-delivery operators and other organisations are subject to a separate Master Service Agreement (MSA). The terms on this page apply where the MSA is silent. Ask us for a copy via admin@brebikes.co.uk.

Cancellation & Returns

Under the Consumer Contracts Regulations 2013 you may cancel an online retail order within 14 days of delivery for a full refund, provided the goods are unused and in original packaging. Rental agreements, custom/personalised fleet orders and fitted accessories are excluded from the cooling-off period where work has started with your consent.

Liability

Nothing in these terms limits our liability for death, personal injury caused by our negligence, or fraudulent misrepresentation. Subject to that, our total aggregate liability in any 12-month period is capped at the greater of (a) £1,000 or (b) the total fees paid by you to us in that period.

We are not liable for indirect or consequential loss, including loss of earnings from delivery work, loss of profits, or loss of data.

Data Protection

We process personal data in accordance with UK GDPR. Our lawful bases are contract (to deliver your rental, service or sale), legitimate interest (fraud prevention and fleet tracking), and consent (marketing, which you can withdraw at any time).

You have the right to access, correct, erase, and port your data, and to complain to the Information Commissioner's Office. Data subject requests: admin@brebikes.co.uk.

Governing Law

These terms are governed by the laws of England and Wales. Any dispute will be resolved by the courts of England and Wales.

We reserve the right to update these terms. Material changes will be notified by email to active clients at least 14 days before they take effect.
